Before we begin. This manual covers the Zimbra webmail. The routes for Classical and Modern are shown separately. Some functions require your organization to enable them. For Outlook and cell phones, ask Engitech for the parameters of your account.

Open the portal

CLASSIC INTERFACEThe classic customer organizes Mail, Contacts, Agenda and Preferences by tabs.
MODERN INTERFACEThe modern customer has access to applications and an account configuration menu.
  1. Open up. mail.tumail365.com or the webmail address that Engitech assigned to your company. Check the domain before writing your credentials.
  2. Write down your full email address and the assigned password. Do not use the examples of this manual.
  3. If the access offers a version selector, choose Classic or Modern according to the enabled options. Not all the facilities offer both.
  4. Click Sign in. If a password change or a second factor is requested, complete that step before proceeding.
  5. When you finish on a shared team, use Logout from your account menu. Close the tab alone does not guarantee to complete the session.
Keep in mindDo not mark "Keep the session started" on public teams. If you have forgotten your key and have no enabled recovery, contact the authorized support.

Choose a folder

The folder defines what messages you see.

CLASSIC INTERFACEThe toolbar and the Ver menu allow you to adjust the presentation of the messages.
MODERN INTERFACEIn Settings → Mail Visualization you can adjust conversations and reading panel.
  1. Get in Mail. On the side you will find Received, Sent, Borators, Spam or Undesirable Mail and Trash.
  2. Select Received and open a message. Check the entire sender and the matter before opening links or attachments.
  3. Use the reading panel to review the content. You can change your layout from the available viewing options.
  4. If you see several messages grouped, you're in view of conversation. Expand the thread to read each answer and its recipients.
  5. To view individual messages again, check the display options and deactivate the grouping by conversations if enabled.
Keep in mindDon't confuse Drafters with Envoys: a draft has not yet been sent.

Write and send messages

Indicates the recipient

Check the full address.

CLASSIC INTERFACEMail → New message. The answering and forwarding options are in the message bar.
MODERN INTERFACEMail → New message. The response options are displayed in the message or in your action menu.
  1. Press New message or write. In To write the mail of the main recipient and confirm each suggested address.
  2. Use CC for people who need to be informed. Use CCO if you need the other recipients not to see the addresses included in that field.
  3. Write a brief matter and the content of the message. Check the attachments and the signature before sending it.
  4. Press Send and check the folder Submitted. That it appears there does not confirm that the recipient has read it or that your server has delivered it.
  5. To answer, choose Respond to the sender or Respond to everyone. Before using the second option, check who your answer will come to. Relay creates a shipment to other recipients.

Select the file

Use the clip from the writing window.

CLASSIC INTERFACEFind Attach in the drafting window.
MODERN INTERFACEUse the editor clip and the attachment option from the computer.
  1. When you type, tap the clip icon or the Attach option and select the file from your computer.
  2. Wait until the load is finished and confirms that the file's name appears. Adding an image within the text does not always amount to attach it as a file.
  3. Check the recipient and version of the document before sending. The permitted size depends on your service and the recipient's server.
  4. For files that exceed the limit, use the file service authorized by your company and share a link with appropriate permissions and maturity.
  5. To download a received file, open the message and select your attachment. Check the sender for another channel if the shipment was not expected.
Keep in mindThere is no universal limit of attachments for all eCloud customers. If a size error appears, check the limit of your account.

Find a message

Write a word

Start with a word of the message.

CLASSIC INTERFACEThe search supports operators and an advanced view to refine results.
MODERN INTERFACEUse the filters and advanced search available on the search bar; the options may vary with respect to the classic.
  1. In the mail seeker writes a word of the subject or the content. Check that you're looking at Mail.
  2. To collect results, use filters as a sender, recipient, date or attachment from advanced search.
  3. In the classic interface you can write operators, for example from:ventas@example.com, subject:factura, has:attachment o is:unread. It replaces example data.
  4. Combine criteria when you get too many results. If a message does not appear, check the folder range and also search for Spam and Trash.
  5. Delete the filters at the end to recover the normal view of the inbox.
Examples for the classic customer

Look for messages on bills containing attachments.

from:ventas@example.com is:unread

Look for unread messages from that sender. The address is fictitious.

Organize with folders and tags

Create a folder

Choose a name that you recognize easily.

CLASSIC INTERFACEFolders and tags are given in the left pane and through the context menu.
MODERN INTERFACEFolder and tag options appear on the side and in the actions of the messages.
  1. In the folder list, open the context menu or the options button and select the action to create a folder.
  2. It is a clear name, for example "Clients" or "2026 Project". Confirm location and save.
  3. Select one or more messages and use Move to choose the destination folder. Check the result before making mass movements.
  4. Create a tag from the tag section or the corresponding menu and apply it to the messages you want to identify.
  5. Use folders for location and tags to sort. A message can have more than one label without duplicating.
Keep in mindMove a message to another folder in the same mailbox does not release account space.

Set up your signature

Open the signatures.

Look for the Signature section.

CLASSIC INTERFACEPreferences → Signature. Check the signature selection for new messages and responses/references.
MODERN INTERFACESettings → Signs. Define the standard signature and the answering or forwarding.
  1. Open the Signature section in your account preferences or settings.
  2. Create a signature with an approved name, charge, company and contact channels. If you add a logo, use the authorized corporate image.
  3. Choose the default signature for new messages and, when the interface allows, another for answers and forwards.
  4. Save the changes and open a new message to check your application.
  5. Send a test to your own or authorized account and check your appearance, especially from a cell phone.
Keep in mindA webmail signature is not necessarily synchronized with Outlook or with the cellular mail. These applications may require your own signature.

Indicates the dates

Defines when the answer must be activated.

MODERN INTERFACESettings → Out of the office. It may include an option to send you a test copy.
  1. Open out of the office and enable automatic response delivery.
  2. Sets the initial and final date. Avoid leaving the active response without return date unless necessary.
  3. Write a brief message with your availability and an authorised alternate contact. Do not include sensitive data or personal details of the trip.
  4. Check if you need a different response for people outside the organization.
  5. Save, perform a test and verify when you return that the answer has ended.
Keep in mindAn answer is not necessarily sent for each email received from the same sender; the frequency depends on the configuration of the server.

Defines a condition

You can use one or more conditions.

CLASSIC INTERFACEPreferences → Filters. Check the input filters and the application order.
MODERN INTERFACESettings → Filters → Add. The advanced editor allows rules with several actions.
  1. Create the target folder first if you want to organize messages on it.
  2. Open Filters and create a rule with a recognizable name, for example "Factures supplier".
  3. Defines a precise condition: sender, matter, or other data. Decide whether to comply with all conditions or any of them.
  4. Sets the available action, such as moving to a folder or applying a tag. Some actions require the advanced editor.
  5. Save and activate the rule. Check your position and if you must stop the processing of other filters.
  6. Try a new message. Do not assume that creating a rule automatically reorganizes the entire previous post; use the option to run on a folder only if it appears and after reviewing the rule.

Check the sender

Unexpected requests are unaware.

CLASSIC INTERFACEUse Spam/No Spam actions from the mail bar.
MODERN INTERFACEUse undesirable mail actions from message or message selection.
  1. If you receive unsolicited advertising, select the message and use Spam or Marcar as an undesirable mail.
  2. If a legitimate mail ended in Spam, select it and use it is not spam. Check your location later.
  3. In the face of a suspicious message, do not open links or attachments. Check the entire address of the sender and confirm the request by a known channel.
  4. Please inform the authorized support with the subject, sender and time of the message. Follow your indication to conserve or bring the evidence.
  5. If you wrote your password on a suspicious page, contact the support and change the key from the legitimate portal; ask them to review the sessions and rules of your account.
Keep in mindAdding a allowed sender does not guarantee that it exceeds all the controls of the server. Avoid allowing complete domains without need.

Create a contact

Open the Contacts app.

CLASSIC INTERFACEContacts → New contact. Lists or groups are managed from the options available in Contacts.
MODERN INTERFACEContacts → New contact. Contact lists allow you to select several recipients.
  1. Open Contacts and select New Contact.
  2. Complete the necessary name, mail and job data. Check the address before saving it.
  3. Save the contact in the corresponding notebook and search it by name or mail to check it out.
  4. You can also add a contact from the sender's address of a message, if that option appears in the menu.
  5. When writing, start writing your name or using the contact selector. The personal notebook and the corporate directory are not the same; the latter depends on the administrator.
Keep in mindBefore importing a CSV, check columns and duplicates. Import options depend on the interface and permissions.

Create the event

Write down the title and the place.

CLASSIC INTERFACEAgenda → New appointment. The attendance and shipping options are displayed in the citation editor.
MODERN INTERFACECalendar → New event. You can check availability if that information is accessible.
  1. Open Agenda or Calendar and create a new event or event.
  2. Write the title and set start, end and time zone. For Colombia it checks that the selected area corresponds to Bogotá.
  3. Add location and description. If it's a meeting, include guest emails; a guest-free appointment is on your calendar.
  4. Choose a reminder and, if applicable, repeat. Check the calendar where it will be saved.
  5. Save or send the invitation according to the action offered by the interface. Check the guest answers.
  6. Upon receiving an invitation, use Accept, Provisional or Refuse. To modify a recurring series, it distinguishes between changing a single occurrence and the whole series.
Keep in mindCreating an appointment does not automatically generate a video call link. Add the tool link that your organization uses.

Select the resource

Open your sharing options.

CLASSIC INTERFACEUse the context menu of the resource and its sharing option.
MODERN INTERFACEUse the resource options and review the accesses in Settings → Share.
  1. Open the options of the folder or calendar and look for Share, if your account has this feature.
  2. Enter the authorized user and choose the minimum level of permissions required. Read is not equivalent to modifying or administering.
  3. Carefully review the permissions before confirming and inviting the user.
  4. Requests the recipient to accept the invitation or to incorporate the shared resource from the available options.
  5. When the collaboration is finished, review the appeal and revoke the permissions that are no longer required.
Keep in mindThe possibilities of sharing with external users vary according to the configuration. Don't publish corporate resources without authorization.

Create an exclusive key

Avoid reusing passwords from other services.

CLASSIC INTERFACEThe password can be managed from Preferences → General; the second factor usually appears in Preferences → Accounts, if enabled.
MODERN INTERFACEThe account menu offers Change Password; Account Settings includes second factor when available.
  1. To change your password, open the corresponding option of your account. If your company uses a centralized access, follow the procedure indicated by the administrator.
  2. Enter the current password and the new twice. It uses an exclusive key and meets the requirements of the system.
  3. If you have two-factor authentication, start your settings from account security options.
  4. Follow the assistant with the admitted method. If you use an authentication application, scan the QR within that application and validate the requested code.
  5. Save the recovery codes safely, if the system offers them. Do not share the QR, passwords or verification codes.
  6. Update the authentication of your mail applications as appropriate. Some facilities need application passwords for external customers.
Keep in mindIf an option does not appear, consult Engitech. It doesn't mean you have to modify server settings on your own.

Check storage and recover messages

Check your quota

Check the space used and available.

CLASSIC INTERFACEThe quota indicator is usually associated with the account name; it also checks the large message search options.
MODERN INTERFACECheck Settings → General → Storage.
  1. Check the storage usage that shows your account. In the modern interface is located in Settings → General → Storage.
  2. Find messages with large attachments and evaluate what you can keep out of your mailbox following your company's policies.
  3. Remove only messages you no longer need. Moving them to a folder within the account does not reduce the fee.
  4. Before emptying Trash or Spam, check your content. Permanent removal can prevent them from recovering from the webmail.
  5. For an accidental deletion, open Trash and move the message to the right folder. If you are not there, consult the support as soon as possible.
Keep in mindRecovery after emptying depends on retention and back-ups contracted. A universal period of recovery is not guaranteed.

Identify the problem

Try the webmail first.

CLASSIC INTERFACEOptions and names can be changed according to version and language. Check your client's help if a route doesn't match.
MODERN INTERFACEThe modern interface may not be available on all deployments. Use the one your organization has enabled.
  1. If you can't go in, check the URL, the full account, the capitals and the error message. Avoid repeating attempts if the account appears blocked.
  2. If you do not find a message, search all relevant folders, Spam and Trash; check filters, rules and quotas.
  3. If a rebound shipment retains the full return message. Check the addressee address and the size of the attachments.
  4. If Outlook or cell phone fail, try the webmail to delimit the problem. Use only the servers, ports, encryption and authentication method confirmed by Engitech.
  5. When asking for support, indicate affected account, time, operation you tried and text of the error. Attach a capturing with the hidden sensitive data.
Why don't you include servers and ports for Outlook?

These are parameters of your company's service. They must be confirmed before they are published; they should not be deducted from the webmail address. Engitech can give you the correct authentication values and method.

Why is my screen different?

Zimbra has classic and modern interfaces. The version, language, editing and enabled functions can change the names or location of the options.

Messages disappear when you delete a conversation?

A conversation can group several messages. Check out which items you have selected before you delete and check Trash if you mistakenly deleted.

Keep in mindNever send your password to the support. IMAP synchronizes mail; synchronization of contacts and calendar requires additional capabilities and should not be included.
